Overview

FixFlow is a maintenance inbox for small landlords. It helps landlords receive tenant repair requests, coordinate vendor work, track repair status, and preserve unit repair history.

Information we collect

FixFlow may collect account information such as name, email address, and phone number; rental maintenance information such as property address, unit name, tenant contact details, repair requests, access notes, photos, documents, invoices, messages, vendor details, repair costs, and status updates; and technical information such as browser, device, and basic usage logs needed to operate and secure the service.

How we use information

We use information to provide the FixFlow service, authenticate users, show repair requests to the correct landlord, tenant, or assigned vendor, send requested notifications, preserve repair records, troubleshoot issues, prevent abuse, and improve the product.

Tenant and vendor access

Tenant and vendor links are limited to a specific unit or repair. Vendors should only receive the job details needed to complete assigned work, such as issue description, photos, appointment details, access instructions, and relevant contact information.

Sharing information

We do not sell personal information. Repair request details may be shared between the landlord, the tenant who submitted the request, and vendors assigned to that repair. We may also use service providers such as hosting, authentication, database, storage, email, SMS, and payment providers to operate FixFlow.

Files and photos

Tenants, landlords, and vendors may upload photos, PDFs, invoices, receipts, or other repair-related files. These files should only be used for maintenance coordination, repair documentation, and related recordkeeping.

Data retention

Repair records may be retained so landlords can maintain unit history, export documentation, resolve disputes, and support tax, insurance, or property-sale records. Users may request deletion or correction of their information by contacting us.

Security

We use reasonable technical and organizational safeguards to protect information. No online service is completely secure, so users should avoid uploading unnecessary sensitive information and should protect account access links.

Children

FixFlow is not intended for children under 13, and we do not knowingly collect personal information from children.
