Emergency Maintenance Policy Template

A plain-language policy small landlords can adapt so tenants know when to use the repair link and when to call immediately.

Call emergency services first for

  • Fire or smoke
  • Gas smell
  • Active flooding or major water intrusion
  • Electrical danger
  • Immediate safety risk
  • Any situation where someone may be hurt

Contact the landlord directly for

  • No heat during unsafe weather
  • Broken exterior lock or security issue
  • Sewage backup
  • Major leak that cannot be contained
  • Anything requiring immediate access or instruction

Use the repair link for

  • Routine plumbing, appliance, HVAC, pest, door, lock, or general repair requests
  • Photos and notes that help diagnose the issue
  • Availability and permission-to-enter details
  • Status updates after the request is submitted

FixFlow includes emergency guidance in the tenant repair form so the app is not mistaken for an emergency service.
